Privacy Policy

How Luv Plymouth Lettings Ltd collects, uses and protects your personal data. Plain English, no jargon.

Who we are

Luv Plymouth Lettings Ltd (“we”, “us”, “our”) is a residential letting and property management agency registered in England & Wales, company number 13384403. Our registered office is Atrium Office, 237 Albert Road, Plymouth, PL2 1DJ.

We are registered as a data controller with the Information Commissioner’s Office (ICO), registration number ZB264090. We are the data controller for the personal data described in this notice — that is, we decide why and how it is used.

If you have any questions about this notice or how we handle your data, contact us at hello@luvplymouthlettings.co.uk or call 01752 938114.

What personal data we collect

  • Enquiry & valuation form data — when you enquire about a property, request a rental valuation, or register your interest, we collect the details you submit: typically your name, email address, phone number, and the content of your message.
  • Maintenance reports — if you’re a tenant and report a repair through our maintenance reporter, we collect the details of the issue, your contact information, and any photos you choose to include.
  • Tenancy & landlord records — if you become a tenant or landlord with us, we hold the information needed to set up and manage the tenancy or management agreement (e.g. referencing, right-to-rent, and property details), consistent with what we tell you at the time.
  • Correspondence — records of calls, emails and other communications with us.
  • Technical data — when you visit this website, some technical data (such as your IP address and browser type) may be collected automatically by the third-party services this site embeds — see “Cookies & third-party content” below. This website does not itself run analytics or tracking scripts.

We only ask for what we need, and we don’t collect special category data (such as health information) unless you volunteer it — for example, mentioning a health-related access need in a maintenance report.

How we collect it

Most of the personal data we collect comes directly from you, through:

  • The enquiry forms on our property and contact pages — these submit directly to us; we do not route them through a third party.
  • The Apex27 hosted valuation and maintenance-report forms linked from this website — submissions on those pages go directly to Apex27, our property management platform, on our behalf.
  • Emails, phone calls or letters you send us directly.
  • In-person conversations, e.g. at a viewing or during a tenancy.

Why we use your data & our lawful basis

  • Contract — to take steps at your request before entering into a tenancy or management agreement, and to perform that agreement once in place (e.g. managing a tenancy, collecting rent, arranging repairs).
  • Legitimate interests — to respond to enquiries and valuation requests, run and improve our lettings business, and keep in touch with landlords and tenants — always balanced against your right to privacy.
  • Legal obligation — where we must process data to comply with the law, for example Right-to-Rent checks, anti-money-laundering checks, the Tenant Fees Act 2019, gas and electrical safety regulations, deposit-protection legislation, and cooperating with our redress and compliance schemes.
  • Consent — for anything not covered above, such as optional marketing communications. Where we rely on consent, you can withdraw it at any time.

Who we share your data with

We don’t sell your personal data. We share it only where necessary, with:

  • Apex27 — our property management and CRM platform, and our data processor. Apex27 hosts the valuation and maintenance-report forms linked from this site, and stores our property, tenant and landlord records on our behalf under a data processing agreement.
  • Google Fonts & Google Maps — this website loads typefaces from Google Fonts and embeds Google Maps to show our office and property locations. These are third-party services, not our processors, and may process technical data (such as your IP address) as part of delivering the font or map — governed by Google’s own privacy policy.
  • Referencing, redress & compliance bodies — where legally required, we share relevant data with organisations such as our tenant referencing provider, the Property Redress Scheme, Propertymark, and the Tenancy Deposit Scheme, so that referencing, redress, client money protection and deposit protection can be carried out.
  • Contractors & tradespeople — where you report a maintenance issue, we share the relevant details with contractors instructed to carry out the repair.
  • Government & regulatory bodies — such as HMRC or the ICO, where we are legally required to.

How long we keep your data

We keep personal data only for as long as necessary for the purpose it was collected:

  • Enquiries & valuation requests that don’t lead to a tenancy or instruction are typically kept for up to 12 months, then deleted or anonymised.
  • Tenancy & landlord records are kept for the duration of the relationship, and typically for up to 6 years afterwards, to meet our legal, accounting, tax and dispute-resolution obligations.
  • Maintenance reports are kept for the duration of the tenancy plus a reasonable period afterwards, in case of a related dispute or follow-up work.

Your rights

Under UK data protection law, you have the right to:

  • Access the personal data we hold about you.
  • Rectification — ask us to correct inaccurate or incomplete data.
  • Erasure — ask us to delete your data, where there’s no legal reason for us to keep it.
  • Restrict processing — ask us to limit how we use your data in certain circumstances.
  • Data portability — ask for your data in a portable, machine-readable format.
  • Object to processing based on legitimate interests, including direct marketing.
  • Withdraw consent at any time, where we rely on consent.

To exercise any of these rights, contact us at hello@luvplymouthlettings.co.uk. We’ll respond within one month.

Cookies & third-party content

This website does not itself set marketing or tracking cookies. However, it embeds third-party content that may set its own cookies or process technical data as part of how it works:

  • Google Fonts — used to display the typefaces on this site.
  • Google Maps — used to show our office and property locations.
  • Apex27 valuation and maintenance-report forms — linked from our property and tenants pages. (Our enquiry forms are first-party and are not part of this list.)

These are provided by third parties, so their own privacy and cookie policies apply to any data they collect. We don’t control, and aren’t responsible for, how those third parties use that data beyond what’s described in this notice.

How to complain

If you’re unhappy with how we’ve handled your personal data, please tell us first — email hello@luvplymouthlettings.co.uk and we’ll do our best to put things right.

You also have the right to complain to the UK’s data protection regulator, the Information Commissioner’s Office (ICO), at ico.org.uk or by calling their helpline on 0303 123 1113.

Changes to this policy

We may update this notice from time to time — for example as our services, or the law, change. The “Last updated” date at the top of this page shows when it was last revised. We’d encourage you to check back occasionally.
